2. Information we collect
The personal information we collect depends on whether you are a client, a pilot, or a visitor:
From all account holders:
- Your name, email address and phone number.
- Account credentials and authentication data (managed by our authentication provider).
- Records of your activity on the platform — bookings, messages, invoices, and support requests.
- Device and log data, including IP address, for security and fraud prevention.
From clients:
- Job locations and site addresses (including geographic coordinates) for the work you request.
- Business details such as company name and billing email, where provided.
- Payment information — processed securely by our payment provider; we do not store your full card details.
From pilots:
- Your service area and home base location (coordinates) so we can match you to nearby jobs.
- Business details, including ABN and business name, where provided.
- Compliance documents you upload — such as your Remote Pilot Licence (RePL), insurance certificates and authorisations — and the data within them.
- Emergency contact details, where you provide them.
- Payout details needed to pay you for completed work.
3. How we use your information
We use your personal information to:
- Create and manage your account, and operate the platform.
- Match clients with suitable pilots based on location, service type and qualifications.
- Process bookings, payments and pilot payouts.
- Verify pilot compliance and monitor document expiry.
- Send you service communications — booking updates, notifications, and account or compliance alerts.
- Provide customer support and resolve disputes.
- Protect the platform against fraud, misuse and security threats.
- Meet our legal, tax and record-keeping obligations.
4. Use of artificial intelligence
Some platform features use artificial intelligence to assist our operations — for example, to help extract information from uploaded compliance documents, to suggest suitable pilot matches, to help draft quote summaries, and to help summarise flight reports. AI outputs are used to support human decision-making and platform functions; they do not make final decisions about your eligibility or compliance on their own. Where documents are processed by our AI provider, this is done to deliver the service you have requested.
5. Who we share it with
We do not sell your personal information. We share it only as needed to run the platform, with trusted service providers who process data on our behalf under their own security and privacy obligations:
- Between clients and pilots — the information necessary to carry out a booking (for example, a pilot sees the client’s job location; a client sees the assigned pilot’s name and relevant details).
- Our payment processor (Stripe), to take payments and make payouts.
- Our hosting, database and authentication provider (Supabase), which stores platform data.
- Our email delivery provider (Resend), to send you service emails.
- Our mapping provider (Google Maps), to geocode and display job locations.
- Our AI provider (Anthropic), to power the AI-assisted features described above.
- Infrastructure providers used for security and reliability, such as rate-limiting services.
- Regulators, law enforcement or advisors, where required or permitted by law.
Some of these providers may store or process data outside Australia. Where that occurs, we take reasonable steps to ensure your information is handled consistently with the APPs.
6. How we protect your information
We take reasonable steps to protect your personal information from misuse, loss and unauthorised access — including access controls, encryption in transit, and restricted permissions. Payment card details are handled by our payment processor and never stored on our own servers. No system is completely secure, but we work to protect your information and to respond promptly to any security incident.
7. How long we keep it
We keep your personal information for as long as your account is active and as long as we need it for the purposes described above. Some records — particularly financial records such as invoices and payouts — are retained for the period required by Australian tax and business law, even after an account is closed. When you delete your account, we deactivate it and retire your profile, but we retain the records the law requires us to keep.

Under the Australian Privacy Principles, you can:
- Ask for access to the personal information we hold about you.
- Ask us to correct information that is inaccurate or out of date.
- Close your account through your account settings, subject to any outstanding obligations.
